FAQ for Librarians

Here you will find answers to questions about access, authentication, usage reports, metadata and discovery to help you support your users. Navigate through the common questions and answers that librarians have below.

Access and Authentication

What access methods are supported by the platform?

Our platform supports the following authentication options: IP access, username/password (for individuals), Shibboleth, EZproxy and Referrer URL. In addition to IPv4, we now also support IPv6. Furthermore, we offer Passcodes for Login.

Are my login details still the same?

Your email has remained the same, but you will have to reset your password as we have not migrated this. Library administrators were sent further information on how to reset passwords shortly after launch.

Our webshop has been implemented after launch and is being optimized constantly.

Bookmarks and alerts have also not been migrated.

Will embedded links from MARC records and KBART files continue to work?

Yes, these links continue to lead through to our new platform.

We also have a robust redirect in place for any URLs that may have changed so you are taken to the correct page.

How long will counter 4 reports from 2019 & 2020 be available?

COUNTER 4 statistics will be available until the end of 2021.

After that, we will only offer COUNTER 5 statistics for 2020 and 2021.

WHAT IS THE WAYFLESS URL STRUCTURE?

The new WAYFless URL structure is: https://connect.liblynx.com/wa…
[CustomerEntityID]&target=[TargetURL].

Previous WAYFless URLs will be redirected; please only use the new structure going forward.

DO YOU SUPPORT SHIBBOLETH AND OPENATHENS AUTHENTICATION?

Yes. The degruyter.com website is accessible for all member institutions in eduGAIN and OpenAthens.

Please make sure your federation metadata is up to date to make the SP available to your users.

Since December 2020, our Entity ID is www.degruyter.com/ssp

Please provide us with your Entity ID (at service@degruyter.com) if a federated SAML idP should be added to your account.

I AM EXPERIENCING PROBLEMS WITH MY EZPROXY, WHAT CAN I DO?

Please ensure we have your Proxy IP on file (you can update this via the IP Registry) and that you are using the most up-to-date Stanza. Please also visit https://www.degruyter.com/publishing/services/for-librarians/tools-resources/meta-data/stanzas for further information.

DO I RECEIVE A NOTIFICATION ONCE ACCESS HAS BEEN SET UP FOR MY INSTITUTION?

Yes, as soon as your order has been processed by our system, the named contact in your order details will receive a notification e-mail that access has been set up.

IS IT POSSIBLE TO SET UP LIBRARY ADMINISTRATOR ACCOUNTS ON DEGRUYTER.COM?

Yes, institutional administrators can access the Librarian self-service area DG Data to access holdings information and usage reports. Please email service@degruyter.com with your request. You will then receive instructions on how to create a new administrator account and get access to DG Data.

WHERE CAN I GET INFORMATION ON MY INSTITUTIONAL HOLDINGS?

Institutional administrators will find the option to download holding lists from DG Data. Your patrons need to use the filter function "Licensed content" on the platform to display the content available to them via their institution.

HOW CAN I UPDATE MY IPs?

De Gruyter has partnered with theIPregistry.org to make the process of checking, monitoring and updating the IP addresses used to authenticate access to content easier for subscribers.

In order to change or update your IPs, please register with the IP Registry here: app.theIPregistry.org

Benefits include:

  • IPs will be updated in real-time, from The IP Registry into the De Gruyter system

  • IPs will be validated upon input to reduce errors and access issues

  • The service is free for libraries

  • IPs are sent to other publishers where you may have licensed content, not just De Gruyter - no need to contact all individually

The IP Registry does not share any personal data - only your IPs are passed on to publisher systems.

WHERE CAN I FIND BÖHLAU PUBLICATIONS?

All Böhlau publications can be found on the website of Vandenhoeck & Ruprecht eLibrary.

Metadata and Discovery

WHERE CAN I GET MARC RECORDS FOR MY LICENSED CONTENT?
WHERE CAN I GET KBART LISTS FOR MY SUBSCRIPTIONS?
WILL I STILL BE ABLE TO ACCESS CONTENT VIA DISCOVERY SERVICES?

Yes, we provide open URL format links to discovery services via KBART files.

These will continue to give access to licensed content.

Usage reports

HOW DO I ACCESS USAGE REPORTS ON DEGRUYTER.COM?

Either through LibLynx or through the new, recommended self-service portal for librarians, DG Data.

Since we included usage reports from LibLynx into DG Data, institutional admins no longer have to log in to different services, but only need one Login for DG Data to access holdings lists and usage reports. In DG Data you will also find your SUSHI access details. (Please note that SUSHI access details have changed, so a new URL and API key will have to be set up at your end for the new platform.)

To get access to DG Data for your institution, please get in touch with us at service@degruyter.com.

WHICH FORMATS OF USAGE REPORTS ARE AVAILABLE?

Our reports are in the COUNTER standard. Usage data before 2021 (2019-2020) are available in COUNTER 4. From 2020 onwards we offer COUNTER 5 statistics, hence data for 2020 are available in both formats C4 and C5.

HAS USAGE DATA CAPTURED ON THE OLD PLATFORM BEEN MIGRATED TO LIBLYNX/DG DATA?

COUNTER 4 and COUNTER 5 reports have been migrated into LibLynx and are available through DG Data.

The usage for the previous platform is included in COUNTER 4 statistics for 2019 and 2020, as well as COUNTER 5 for 2020 to January 2021.

The usage for the degruyter.com is available from February 2021 onwards in COUNTER 5 format.

January 2021 has been merged in to give you the full year of usage.

MY STATISTICS FOR 2020 ARE EMPTY, ARE THEY MISSING?

Some statistics were too large to integrate into the download form.

Please check if you have a section for Legacy Reports Download at the bottom of the page – this is where you can find CSV files of the reports in question.

Technical

WHICH BROWSER SETTINGS AND TECHNICAL REQUIREMENTS ARE RECOMMENDED?

The site requires the latest version of Microsoft Edge, Google Chrome or Mozilla Firefox as a browser.

IS THE SITE COMPATIBLE WITH MOBILE DEVICES?

Yes. The mobile site is built using responsive technology and opens automatically when accessed from a mobile device.

DO I NEED TO DOWNLOAD NEW MARC RECORDS OR KBART FILES?

You do not need to replace your existing MARC records or KBART files, as the URLs in both continue to lead through to the De Gruyter platform via DOI or OpenURL format.

WHO CAN I CONTACT IF I HAVE A QUESTION?

De Gruyter’s customer service team will continue to assist you with any queries you may have. Please email service@degruyter.com and include links, screenshots or any further details that might help us to solve your query quickly.
